How to Use Gmail in Outlook on Windows 11
You can use Gmail in the new Outlook app on Windows 11 by adding your Gmail account as an IMAP account.
The new Outlook for Windows, which replaced Mail and Calendar apps in a recent update, integrates all your email services, including Gmail, into a single interface. This allows you to manage your Gmail inbox, send emails, and access your contacts directly from your desktop.
By connecting Gmail to Outlook, you gain a unified inbox, faster email management, and powerful organizational tools like rules and scheduled sending. This eliminates the need to constantly switch between browser tabs for your email.
Once configured, your Gmail account syncs seamlessly with Outlook, letting you read, compose, and archive emails without leaving the desktop application.
How to Add Your Gmail Account
Follow these steps to connect your account. Note: You do not need admin privileges for these steps, as this is a standard user-level configuration.
- Open the Outlook app on your Windows 11 computer. You can find it by clicking the Start menu and typing “Outlook” in the search box.

- Click the Settings button, which looks like a gear icon in the top right corner of the app.

- On the Settings page, look for the “Email accounts” section and click the Add account button.

- A window will pop up. Type in your full Gmail address and click Continue.

- A web page will open automatically. Choose your Google account from the list.

- Click Allow to give Outlook permission to sync your Gmail messages, calendar events, and contacts.

- Your Gmail account is now linked. You can see your inbox, calendar, and contacts right inside the app.
