The new Outlook for Windows brings the latest features and a modern and simplified design with support for Exchange-backed Microsoft 365 work or school, Outlook.com, Hotmail, and Gmail accounts.

Outlook stores all your email, calendar items, and contacts in your mailbox. You can request a copy of your mailbox anytime by clicking Export mailbox on the settings pane.

This process may take up to 4 days to complete. After your copy is ready, you’ll receive an email with a link to download the content from your mailbox.

There could be various reasons why you would want to export your mailbox. One common reason is to have a backup of your email, calendar items, and contacts in case of data loss or corruption. Another reason could be to migrate your mailbox to a new email service or platform. Additionally, exporting your mailbox can help you free up space in your email account by archiving old or unnecessary emails.

Export mailbox in Outlook

As mentioned above, you can export your mailbox in Outlook by clicking Export mailbox on the Settings pane.

Here’s how to do that.

First, open the new Outlook app on Windows 11.

You can do that by clicking Start -> All app -> Outlook app. Or use the Start menu search box to search for Outlook and open it.

When the app opens, click the Settings button (gear on the top right) to proceed.

On the Settings page, click the General tab on the left sidebar and select Privacy and data on the right.

Next, select the email account you want to apply message format settings if you have multiple accounts in Outlook.

This is an account-level setting that will apply only to the selected account. Please do this for each account you want it to apply.

Next, choose the Export mailbox button under Export mailbox to export all your email, calendar items, and contacts.

This process takes up to 4 days to get all your ready.

When you click the Export mailbox button, you should see a status message that the export is in progress. Wait for the email from Microsoft to let you know your data is ready.

Click on the link to download the exported mailbox.
