This guide explains how to switch between HTML and Plain text formats when writing emails in the new Outlook app for Windows 11.
The new Outlook for Windows offers a modern design and works with Microsoft 365, Outlook.com, Hotmail, and Gmail accounts.
The app includes many features like email signatures, external email accounts, out-of-office automatic replies, email sorting, subscription management, email forwarding, and setting default From address.
Why change the email format?
HTML is the default. It lets you add images, change fonts, and use colors. Plain text is a simpler format without these extras. People often use plain text for newsletters because it is easier to read and less likely to be blocked by spam filters. It is also better for people who use screen readers.
What happens when you are done?
Once you change these settings, your emails will automatically be formatted in the style you chose. You can go back and change this at any time.
How to change the message format in Outlook
First, open the new Outlook app on Windows 11. You can find it by clicking Start, selecting All apps, and choosing Outlook. You can also search for it in the Start menu.

Once the app is open, click the Settings button. This is the gear icon in the top right corner.

On the Settings page, click the Mail tab on the left. Then, click Compose and reply on the right.
Select the email account you want to change. If you have more than one account, you must repeat these steps for each one.

Look for the Message format section. Choose HTML if you want to use formatting like bold text or images. Choose Plain text if you want a simple, clean email.

Save your changes and close the window.
Summary
Switching between HTML and Plain text gives you more control over how your emails look. HTML is best for visual flair, while Plain text is best for readability and spam prevention. You can manage these settings for each of your email accounts within the Outlook settings menu under Compose and reply.
