How to Pin or Unpin Emails in Outlook on Windows 11
The new Outlook app for Windows 11 includes a handy feature that lets you pin important emails to the top of your inbox. This guide will show you how to keep your most urgent messages front and center.
Why pin your emails?
Inboxes can get crowded quickly. Pinning an email keeps it at the very top of your list so you do not lose track of it. It acts as a permanent reminder to respond or take action.
What happens when you are done?
Once you pin an email, it stays at the top of your list until you decide to unpin it. When you unpin an email, it returns to its original spot in your inbox, sorted by the date it was received.
How to pin an email
First, open the new Outlook app on your Windows 11 computer. You can find it by clicking the Start button and searching for Outlook.

Once Outlook is open, you can pin an email using one of these methods:
- Select an email and click the Pin button on the ribbon.
- Hover over an email and click the Pin icon that appears in the quick action pop-up.
- Right-click any email and select the Pin command from the menu.

Automating your pins
You can also tell Outlook to pin certain emails automatically using rules:
- Click the Settings button at the top right of the app.
- Go to Mail, then select Rules.
- Create a new rule based on an email address.
- For the action, choose Pin to top.
- Save your changes.

How to unpin an email
If you no longer need an email at the top, you can unpin it just as easily:
- Select the pinned email and click the Unpin button on the ribbon.
- Click the Unpin icon directly on the pinned item.
- Right-click the pinned item and select Unpin from the menu.

Summary
Pinning emails is a simple way to organize your inbox and ensure you never miss an important message. By keeping critical tasks at the top, you can manage your workflow more effectively. Use manual pinning for quick tasks or set up rules to automate the process for specific senders, making your daily email management much easier.
