How to Keep Declined Meetings in Outlook
You can keep declined meetings visible on your Outlook calendar to access their details later.
In Outlook, click the Settings gear, select Calendar, then Events and Invitations. Check the box for “Show declined events on your calendar” and click Save. This will keep declined meetings visible on your calendar while marking you as free.
Declined meetings are typically removed from your calendar view by default in Outlook, but this setting allows you to retain them for future reference.
Even if you can’t attend, the meeting invite might contain important documents or chat history you’ll want to access. For instance, you might need to review an attached presentation or find contact information shared previously.
This feature ensures that once enabled, any meeting you decline will remain on your calendar. You’ll be marked as “free” during that time, allowing others to schedule over it if needed, but the meeting’s information will stay accessible to you.
